Overview: The Kansas One Shot Turkey Hunt, a prestigious annual event, brings together hunters, guides, and outdoor enthusiasts for an unforgettable hunting experience. Our organization is currently seeking a dedicated and organized individual to join our team as Managing Director of this nonprofit organization. This is an exciting opportunity for the ideal candidate to contribute significantly to the event's success. The ideal candidate will be responsible for various administrative tasks and planning, ensuring the smooth execution of the hunt. This includes coordinating with hunters and guides, liaising with event planners and volunteers, and maintaining essential documentation. The ideal candidate will need to perform other duties that are not covered in the responsibilities below and will need to be performed as necessary to ensure the execution of a successful event.
Key Responsibilities:
- Invite Hunters: Create or update pertinent documents and letters to reach out to prospective hunters and extend invitations to participate in the Kansas One Shot Turkey Hunt. Work with the KOSTH Advisory Committee for names of invitees.
- Coordinate and Identify Guides: Identify qualified guides and coordinate their participation in the hunt. Work with the board and board guide committee to identify and coordinate quality guides. The guides must abide by our code of conduct and ethics.
- Pair Guides and Hunters: Coordinate with the hunter/guide match-up committee to match guides with hunters based on preferences, experience levels, and other relevant factors.
- Landowner Forms: Ensure guides complete and submit all necessary landowner forms on time to secure access to hunting locations and meet program printing deadlines.
- Waivers and Applications: Collect and track waivers and applications from both guides and hunters, ensuring timely submission.
- Coordinate volunteers: Secure and coordinate all volunteers for positions needed during the 3-day event.
- Interface with Event Planner: Collaborate with event planners to support logistical arrangements and ensure seamless coordination of activities.
- Maintain Hunt Contact Database: Keep the Hunt contact database updated with accurate and current information.
- Coordinate Meals: Arrange and coordinate meals for participants throughout the duration of the hunt, considering dietary preferences and restrictions.
- Point of Contact: Serve as the primary contact via email and phone for all inquiries related to the hunt, providing information and assistance as needed.
- Organize and Ensure Smooth Activities: Oversee the execution of all hunt-related activities, ensuring they run smoothly and according to schedule.
- Board of Directors: This role reports to the Board Chair and Board of Directors, who oversee the position and the organization. The transition of the position will be coordinated with the Board Treasurer. Responsibilities include communicating with the board of directors and committees to schedule meetings and manage other necessary tasks.
- Attend Monthly Board Meetings and committee meetings: Participate in monthly board meetings and committee meetings, providing written and oral updates and reports on the status of hunt preparations and activities. Coordinate with Board Chair, Secretary, and Treasurer for the reports needed for each meeting.
- Website and Social Media: Manage and update the website to keep relevant and fresh information up to date, as well as post content and updates about the hunt on social media.
Qualifications:
- Previous experience in nonprofit event coordination, administration, or a related field preferred. Volunteer management is a plus.
- Strong organizational, presentation, oral, written communication, and interpersonal skills with strong attention to detail.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite, Adobe or Canva, and database management.
Knowledge of hunting regulations and outdoor recreation is a plus.
